How to Manage Media Shelves

Media shelves can be accessed through the Library for all users who have the privilege to view the shelf, based on the ‘User Groups’ they belong to. This article contains instructions for each step of the media shelf creation process, from creating a new media shelf to adding media items to that media shelf.


Create a New Media Shelf

  1. Login to Documoto.
  2. In the ‘Admin’ drop-down, select the ‘Tenant Administration’ module.
  3. Open ‘Media Shelves’ under the ‘Profile’ section.
  4. Click the ‘New’ button.

  1. In the ‘Translations’ grid, add a media shelf name by clicking the ‘Add’ button and entering the name in the new row.
  2. Determine the display order that you want the media shelf to appear in the library. Add the display order by typing the number into the ‘Display Order’ text field, or using the arrows to set the order.
  3. Add a media owner in the ‘Email’ field. (NOTE: A media owner is the person who is responsible for all of the media items within that media shelf. Their email will automatically populate in any of the forms generated when an end-user attempts to ‘Contact a Media Owner’ from the Documoto user-interface.)
  4. Click ‘Save’ to save your new media shelf.

  1. Your new media shelf or media shelf will now appear in the ‘Media Shelves’ grid.

Assigning User Groups to Media Shelves

  1. While in the ‘Tenant Administration’ module, select ‘User Groups’ from the ‘Profile’ section.
  2. Highlight the first user group you want to give access to the new media shelf by clicking it in the ‘User Groups’ grid.
  3. Click the ‘Edit’ button.

  1. Find and check off the new media shelf you just created in the ‘Media Shelves’ section.
  2. Click the ‘Save’ button.

  1. Continue to edit, check-off the new media shelf and save the update for all additional user groups that you want to have access to the new media shelf.

Adding Media to a New Media Shelf

  1. Follow the instructions in the article Setting Media Access Controls to learn how to add media to your new shelf.
To add media to a new shelf in bulk contact your Account Manager, Engagement Manager or the Digabit Support team at support@digabit.com.

Editing and Deleting Media Shelves

  1. Login to Documoto.
  2. In the ‘Admin’ drop-down, select the ‘Tenant Administration’ module.
  3. Open ‘Media Shelves’ under the ‘Profile’ section.
  4. Highlight the media shelf you wish to modify or remove by clicking on it in the ‘Media Shelves’ grid.
  5. Select the ‘Edit’ or ‘Delete’ button.

  1. If you are editing the media shelf, ensure that you click ‘Save’ after you are done making changes. If you are deleting the media shelf, select ‘Yes’ in the ‘Confirm Removal’ pop-up.
