How to Create Part Codes for Non-Orderable Parts

Part Codes can be used to indicate when items are obsolete, not available, a reference part only or for any other reason that would require an organization to make a part number both hidden and non-orderable. Part codes replace part numbers during the publishing process. Therefore, they are an overall code that is used to describe certain types of non-orderable parts (obsolete, part number not available, etc.).
 
NOTE: It is very important that part codes be entered in tenant admin before pages are published with the part code in place of part numbers. If a part code is published on a page, but has not been added to tenant admin as a part code, then it will be created as a ‘part number’ in the Documoto database. This creates issues for integrations that have been set-up to retrieve part information from ERP systems.
 

Creating New Part Codes

  1. Login to Documoto.
  2. In the ‘Admin’ drop-down, select ‘Tenant Administration.’
  3. Select ‘Part Codes’ under the ‘Miscellaneous’ section.
  4. Click ‘New’ to create a new ‘Part Code.’
 
 
 
 
  1. Enter the part code in the ‘Name’ field. Examples of part codes and their descriptions include:
  • PNNA: Part Number Not Available
  • NA: Not Available
  • OBS: Obsolete
  • REF: Reference Part Only
  • CALL: Call your company representative for more information.
 
  1. Enter the part code description in the ‘Description’ field.
  2. Click the ‘Save’ button when you have entered information into both fields.
 
 
 
 
  1. Your new part code should now show in the ‘Part Codes’ grid. You may now use this part code in place of part numbers within a bill-of-materials.
 
 

Editing and Deleting Part Codes

 
 
  1. Login to Documoto.
  2. In the ‘Admin’ drop-down, select ‘Tenant Administration.’
  3. Select ‘Part Codes’ under the ‘Miscellaneous’ section.
  4. Highlight the part code you wish to delete or make changes to in the ‘Part Codes’ grid by clicking on it.
  5. Select ‘Edit’ or ‘Delete.’
 
 
 
 
  1. If you are editing the part code, ensure that you click ‘Save’ after you are done making changes. If you are deleting the part, select ‘Yes’ in the ‘Confirm Removal’ pop-up.
